Role Description

The Administrative Coordinator is a full-time, on-site role based in downtown Toronto (walking distance from Union Station). Reporting to the Chief Financial Officer, this position is responsible for supporting the day-to-day operations of the office while providing administrative, accounting, and facilities support. The ideal candidate is proactive, outgoing, detail-oriented, financially cognizant, and highly organized.

Responsibilities

  • Proactively manage the reception area.
  • Responsible for cleaning and maintaining two office kitchens, including light cleaning, restocking supplies, and ensuring spaces are kept organized to a consistently high standard.
  • Manage all boardroom bookings and meeting coordination for prospective partners.
  • Assist valued clients and colleagues.
  • Manage the production, assembly and approval process for Executive expenses.
  • Coordinate and support the CFO with accounts payable by entering and tracking invoices.
  • Assist with special projects and manage outside vendor relationships.
  • Assist with document production and management.
  • Ordering of office supplies and IT requirements for onboarding.
  • Participation in the coordination of internal/external events, and team building.
  • Willingness to perform ad hoc projects and logistics.

Experience

  • 5 years’ experience in an administrative or reception capacity.
  • Strong analytical skills.
  • Solid financial acumen and/or willingness to learn new processes.
  • Strong verbal and written communication skills.
  • Outstanding organizational and time management skills.
  • Discretion and confidentiality.
  • Motivated, proactive and organized.
  • Highly skilled in picking up on new technologies quickly.
  • Proficient in MS Office (Excel, Word, Power Point and Outlook).
  • Must be fluent in English and eligible to work in Canada.
